Job Description

This position demands an organized, responsible person who exhibits excellent interpersonal and communication skills.  Knowledge of or willingness and ability to learn about administrative processes is necessary.  Flexibility, humor, and attention to detail in both written and oral communication required.  Problem-solving skills also highly desired.

Consistently maintain the program’s files of current as well as past program administrative paperwork.  Update schedules, forms, handouts, memos, etc.

Coordinate the hiring of models for the figure.  Get the current list of models from the 2D Office, discuss with the model coordinator the general procedure, and find out which models she suggests might be best suited to work with our high school  students (who, for the most part, are not yet familiar with drawing from nude models).  Contact The Figure teacher(s) to ascertain their needs and hire models for each week as necessary.  (Note: this may take time, so start early with the phone calls.)  Check models in on Saturday mornings and ensure that they have completed payment forms.  Ensure these records are documented (both payment and hiring dates).

Communicate with Studio Manager and acquire and file the class attendance lists.  Ensure that all medical forms, registration forms and any other related documents that pertain to the registration of students in the Saturday  Studios program is given to K-12 Programs

In coordination with Studio Manager, actively problem-solve (via telephone and in person) with parents, students, teachers, referral sources, etc. in regard to Saturday Studios policy and/or content.  Inform, inquire, unscramble confusion, give directions, investigate the issue at hand, and ask if you aren’t sure of the answer. Problem solve as issues come up in regard to student safety, medical emergencies, student accountability, dismissal procedures, etc.

Make sure the front desk is covered, and that it conveys a sense of professionalism to the public and school community.  Remember that in this capacity you, and those at the front desk, are representing not only the Saturday  Studios program, but also the Art Education Department of Massachusetts College of Art and Design.

Help coordinate drop-off/pick-up personnel each week (generally students from Pre-prac 1 class).  This requires carefully explaining the procedures and making sure each person understands the responsibility they have for the well-being of our children.

Prepare for and clean up after morning meetings.  Prepare and set out food (by 7:45 a.m.). Have class folders, and any handouts (break forms etc.) prepared ahead of time and ready to distribute, so that you may meet and greet students and staff in a relaxed way.

Through the development of a calendar be particularly aware of where each class is each week.  Make sure visiting artists, models, studio monitors, and Saturday  Studios staff fill out appropriate forms to be paid, and bring these to Studio Manager.

Follow through each week with routine duties (class lists and attendance records, room checks, etc.)  Every Saturday call households of absent students to check in with them.  Check in with Studio Manager at the end of each session, and develop a good working system for communicating with her/him each week.
